Separating Visual Checks From Technical Assessments

A facility record should make clear whether it contains a visual observation or a technical assessment. A visible condition may justify a question, but it does not automatically establish its cause or the condition of concealed components. This guide helps facility teams record and refer observations without replacing the assessment, maintenance instructions or access arrangements required for the actual installation.

State the extent of the visual check

Identify the joint location, date and areas that were visible from the permitted access position. Record restrictions such as a covered section or an occupied area. Do not remove parts or enter restricted spaces simply to complete the form. A statement about the visible surface should not be extended to components that could not be seen.

Use descriptive observations

Write what was observed and include location-labelled photographs where permitted and safe. Keep a changed appearance separate from a diagnosis of material failure or movement. Compare earlier records only where the location and conditions are sufficiently clear. If a photograph cannot identify the area, retain that limitation rather than treating it as a complete condition record.

Identify questions needing further review

Link the observation to the installed system reference and available maintenance documents. Ask the responsible contact what further assessment is required and which information would help. Do not assign a performance rating from appearance alone. Keep any proposed explanation labelled as a question until an appropriate review supplies a supported conclusion.

Retain the assessment as a separate record

When a technical response is received, keep its scope, author, date and information references with the original observation. Record any instructions or further actions through the facility process. Do not rewrite the earlier observation to make it appear that the later conclusion was known at the time. The two records should remain connected and distinguishable.
