Expansion Joint Handover: Records for Facility Teams

An expansion joint handover should give the facility team a clear record of what was installed, where it is located and which instructions apply. Collect the documents while the work is in progress so that the final pack does not depend on recollection after finishes have covered important details.

Map the installed locations

Give each joint a reference on the final plan. Record the system name, drawing revision and location, including changes in direction and transitions between floors, walls and roofs. A labelled plan helps a facility manager identify the relevant assembly before ordering a spare or asking for advice. Keep the project’s approved drawings with the location schedule.

Retain product and approval documents

Include the technical data sheet, installation instructions and project-specific details for the installed system. Record any accepted deviations through the project’s approval process. Retain applicable test and assessment evidence for requirements such as water management or fire performance. A reference to a standard alone does not establish that the installed assembly has a particular rating.

Keep inspection and completion records

Organise photographs by location and date. Include observations from inspections and any testing required by the approved specification, with the method, conditions and outcome recorded. Identify outstanding actions and the person responsible for closing them. A photo of a finished cover may not show the condition of components below it, so keep the earlier records available to future maintenance teams.

For ongoing condition records, distinguish visual checks from technical assessments so that an observation is not mistaken for a conclusion about concealed components.

Agree the maintenance responsibilities

Supply the manufacturer’s maintenance guidance and any relevant access precautions. Record who receives defect reports, who arranges inspection and which parts can be sourced using the system reference. Use the actual manufacturer instructions for cleaning, inspection intervals and repair; do not assign a generic interval to every system. Treat changes in use or damage as reasons for an appropriate review.

Make the handover usable

Place the plan, schedule and documents in one indexed folder and give the facility team a copy. A simple example is a location entry containing the joint reference, installed product, drawing link, completion date and contact route for queries. Keep warranty documents and their conditions with that entry where supplied. Do not infer warranty terms from another product or project.

Use the product range to identify the system and the contact route for document enquiries. The handover pack should be checked against the installed work and the project’s acceptance requirements before completion.
